While your Custom Sender Email does not need to be associated with an active inbox, we strongly recommend using an email address that exists and is actively monitored. This helps minimize bounced emails and ensures recipients can successfully reply if needed. For any questions or support related to Guusto, we also recommend directing recipients to [email protected]
A Custom Domain Sender Email allows your organization to send Guusto emails using an email address from your own domain, rather than Guusto's default sender address.
For example, instead of emails being sent from a Guusto email address, you could send them from:
Before a custom sender email can be used, your organization must verify ownership of the domain by adding a few DNS records provided by Guusto. Once the domain has been verified, it can be used by any workspace within the same organization.
Why use a Custom Sender Email?
Using your own domain helps create a more seamless and trusted recognition experience for your employees.
Benefits include:
Strengthen your brand by sending recognition emails from your organization's domain.
Increase trust and engagement by using a familiar sender address.
Verify your domain once and reuse it across all workspaces within the same organization.
Improve email authentication by allowing Guusto to securely send emails on your organization's behalf.
Who can use this feature?
Custom Sender Email is available to:
Workspaces that belong to an Organization
Workspace Admins
Workspace members with the Settings permission
Users with the appropriate permissions can:
Connect a new domain
Verify domain ownership
Manage existing domains
Configure or update a Custom Sender Email
Before you begin
Before connecting your domain, we recommend confirming that your domain has a valid DMARC record.
A DMARC record helps receiving email providers verify that emails sent from your domain are legitimate. Without one, emails may be rejected or delivered to spam folders.
If you're unsure whether your domain has a DMARC record, contact your organization's IT administrator or DNS provider before continuing.
Connect and verify your domain
Step 1: Open Domain Management
Navigate to Workspace Settings > Profile.
Select:
Connect Custom Domain if your organization hasn't added a domain yet, or
Manage Domains if one or more domains already exist.
The Domain Management window will open.
Step 2: Add your domain
Select Add Domain.
Enter your organization's root domain.
Example:
companyname.com
Do not include:
https://http://www.
Select Connect Domain.
Step 3: Add the DNS records
After connecting your domain, Guusto will generate three DNS (CNAME) records:
One Mail CNAME
Two DKIM CNAMEs
Copy these records exactly as they're displayed and add them through your domain registrar or DNS provider.
Note: DNS changes can take up to 24–48 hours to propagate across the internet.
Step 4: Verify your domain
Once your DNS records have been added:
Return to Manage Domains.
Select Verify.
When verification succeeds, your domain will become available for use throughout your organization.
Configure your Custom Sender Email
Once your domain has been verified:
Navigate to Workspace Settings > Profile.
Locate the Custom Sender Email field.
Enter an email address using your verified domain.
Example:
Select Save Changes.
Future emails sent from your workspace will use your configured sender address.
Note: The email address doesn't need to be an active inbox, but it must use one of your organization's verified domains.
Share verified domains across workspaces
Domains are managed at the organization level.
Once a domain has been verified, every workspace within the same organization can use email addresses from that domain without completing the verification process again.
For example:
Workspace A verifies companyname.com
Workspace B belongs to the same organization
Workspace B can immediately configure [email protected] as its Custom Sender Email
Custom Sender Email status
Your Custom Sender Email may display one of the following statuses.
Active:
The domain has been verified and your configured sender email is being used.
Pending Verification:
The associated domain still needs to be verified, or requires re-verification before it can be used.
Disabled:
The configured email address can't currently be used. Guusto will continue sending emails from its default sender address until the issue is resolved.
Troubleshooting
My domain won't verify
If verification hasn't completed after 48 hours:
Confirm all three DNS records were added.
Verify that every record matches the values shown in Guusto exactly.
Check whether your DNS provider requires a different record format.
Allow additional time for DNS propagation.
Contact Guusto Support if the problem persists.
I can't save my Workspace Profile
If your Custom Sender Email is associated with an unverified or disabled domain, you'll need to either:
Remove the email address, or
Replace it with one that uses a verified domain.
Only then will you be able to save other changes to your Workspace Profile.
Frequently Asked Questions
Does every workspace need to verify the domain separately?
No. Domains are verified once at the organization level and can then be used by every workspace within that organization.
Can multiple organizations use the same domain?
No. A domain can only be registered to a single Guusto organization.
How long does domain verification take?
Although verification may complete sooner, DNS propagation can take up to 24–48 hours.
Does my Custom Sender Email need to be a real mailbox?
No. The email address doesn't need to be monitored or associated with an active inbox. However, replies will be handled according to your organization's email configuration.
Why are my emails going to spam even though my domain is verified?
Domain verification alone doesn't guarantee delivery. We recommend ensuring your domain has a valid DMARC record and that your DNS records remain correctly configured.
What happens if my DNS records are removed later?
If your DNS records become invalid or are removed, your Custom Sender Email may become unavailable and Guusto will automatically send emails using its default sender address until the domain is verified again.
